Meetings
20.1Start a meeting
On Home, click Meetings, then New meeting. Put in the date, and a time if you want. Start it before the meeting, so everyone can fill in their section beforehand.
The Agenda tab is the agenda you write by hand, as topics with steps:
- Press + Add topic. In the pop-up type the title, then What this is about.
- At the bottom of the pop-up press + Add step (or press Enter in a step) for each thing that has to happen. Tick a step when it is done.
- Choose how the topic stands: Open, Done, Carry over or Dropped. Fill in Due, Link and What was discussed or decided if you want.
- Open Make a task, choose Who, and press Add to the board to put the topic (or one of its steps) on the shared task board. When that task is ticked done on the board, its step is ticked here by itself.
- Drag the grip on the left to reorder; the steps go with the topic. A topic marked Carry over (with its steps that are not done) is copied into the next weekly meeting. Print prints the written agenda. In Wrap-up, Discussed lists the topics you ticked.
The To talk about tab fills itself in:
- From last time: anything carried over from the last meeting.
- The schedule: what's been brewed and packaged since the last meeting, and what you're brewing and packaging in the next week.
Then there are the sections every meeting has:
- Days off: who's off.
- Visitors and events coming up.
- Last packaged: quality check: the last beer you packaged, with its real numbers already filled in from its records (final gravity, ABV, dissolved oxygen, packaging waste). Add notes, for example how it tastes a week later. The last packaged beer's figures — final gravity, ABV, dissolved oxygen and packaging waste — are filled in from the beer's own records, above the notes box. A figure nobody measured shows a dash, never a zero.
- Equipment and maintenance: anything that needs fixing or regular upkeep, like the monthly jobs.
- Labels: deadlines, and checking everything is filled in right (the ABV and the rest).
- Before the next meeting: things to do by next time. They show up under From last time at the next meeting.
- Other: anything else to talk about.
And every person on the crew gets their own section. At the top of yours are your open items: what you carried over from last time, and your meeting tasks that aren't done yet. Each person's section opens with Still yours: their items carried over from a previous meeting, and their meeting tasks still open on the board.
20.2Add an item
Type the item and press Enter. Click it to add more:
- Details about what it is.
- A due date, if it matters, and tick it to put it on the calendar.
- Who it's for.
- A link.
- What has been said: the item's history. Each time it comes up, add a line about what was said. The lines build up meeting after meeting, so you can see how it got to where it is. Example: "Chiller is leaking" → "Called the repair company" → "Part arrives the 12th."
- Not shown to the others: only you see the item until the meeting, so you can bring it up there. It's hidden from the others, not just its notes. Leave it unticked and everyone can see it.
- Make it a task: puts it on the task board, to assign to someone.
- Typed by mistake: deletes it, along with everything written under it.
20.3What happens to an item
At the meeting, choose for each item:
- Done: finished. It stays on this meeting's record and doesn't come back.
- Carry over: it comes back next week, with everything written under it. If the item was made into a task, next week it shows whether the task is done. An item you made into a task says done on the board once the task is finished, at this meeting and every one after it. Example: you want to check next week that the chiller got fixed.
- Dropped: you decided against it. It stays on the record and doesn't come back.
- Take to combined: some breweries also use the Team Hub, where the brewery and the sales team meet together. Everything here is the brewery meeting; this sends the item to the combined meeting.
20.4Wrap up
At the end, write what was decided in Wrap-up, and an administrator presses Close meeting. A closed meeting stays in the list, so you can open any past meeting and read everything on it. Print prints the agenda.
Every meeting also has Minutes — a full write-up made from the meeting itself, so nothing is typed twice. Switch between Meeting and Minutes at the top; a meeting you've closed opens on its minutes.
The minutes hold the date, who was there, each heading's items with what happened to each one (Done, Dropped, Carried over or Still open), everything said under them, the tasks the meeting made and who they went to, and your What we decided wrap-up at the top.
Print minutes prints them. Save to Drive saves them into your brewery's Drive, under Backups → Meetings → the year.
20.5Find something from a past meeting
Type a word in Search, for example chiller, to see every meeting it came up in: the item, what happened to it, and everything said about it each time.
