Ordering

13.1How ordering works

You don't have to make a shopping list by hand. Ordering happens on its own as you build recipes: every time you put a beer on the production schedule (linked to its recipe), its ingredients go onto the order planner automatically.

To see what's on the order planner, and to build your order and send it:

  1. Go to Home.
  2. Scroll down to Order planner and click it.

Every order you make also goes onto the shared calendar on its expected delivery date, so everyone can see what's coming and when. The shared calendar shows your brew days and dry hop days too: everything that's planned.

13.2What the order planner shows

Down the left are the ingredients in the beers you have coming up. You won't see every ingredient in your library, only what's in those beers. (If you have a delivery of something on the way, it shows too.)

Then the columns, from left to right:

  • On hand: how much you have now.
  • One column per upcoming brew: the date of the brew at the top, and how much of each ingredient that brew uses.
  • Leftover: what you'll have left after the columns before it. Drag it to sit after any brew, and it updates on its own.

You can have more than one Leftover column: the + under a Leftover column adds another, and the ✕ removes one (the last one stays). Each can be dragged on its own. Example: with ten beers coming up, put one after the second beer and another after the fifth, and see both at once.

Example: you have 100 kg of Pilsner malt. A beer brewed on September 12 uses 150 kg. Move the Leftover column to just after September 12, and it shows -50 kg.

13.3Make an order

Back to the example: you have 100 kg of Pilsner malt and the September 12 beer needs 150 kg, so you're 50 kg short. Time to order.

  1. In the upper right corner, click New order. A window opens with three columns: For these brews on the left, Suggested in the middle and My order on the right.
  2. On the left, click the beers you're ordering for. Their ingredients go into the middle column with the suggested amounts. Example: you have 100 kg of Pilsner malt and the recipe calls for 150 kg, so Suggested shows Pilsner 50 kg.
  3. Click all of the suggestions, or only a few, and click Add Selected to Order →. They're copied into My order on the right, with the suggested amounts.
  4. To order more than suggested, double-click the ingredient in My order and change the amount. Example: you need 50 kg of Pilsner now, but you know you'll need 100 kg more later. Double-click Pilsner and change 50 to 150.

13.4Give each ingredient its supplier and delivery date

Example: your order has Pilsner, Vienna, wheat and Amarillo hops. The Pilsner and Vienna come from the same supplier; the wheat and the Amarillo come from others.

  1. In My order, click the ingredients that come from one supplier: Pilsner and Vienna.
  2. Underneath, the Supplier drop-down says None. Pick the supplier you'll get them from. The drop-down has a Supplier label above it.
  3. Pick the date you'll ask them to deliver.
  4. Click Apply to selected. Those ingredients gray out: they're saved as part of your order.
  5. Do the next one the same way. The wheat comes from a different supplier, so click the wheat, pick its supplier and delivery date, and click Apply to selected. Then the Amarillo.

13.5Something that isn't in the suggestions

To add something extra, click Add manually at the bottom. Fill in the type, the ingredient, the quantity and the supplier, and click Add to order.

13.6Print it and create the order

  1. Click Print. You get a sheet listing each ingredient under its supplier. Email it to them, or keep it next to you while you order on their website, whichever way you order.
  2. Under Order details you'll see the date. Add any notes you want.
  3. Click Create order. The order shows up on the order planner as a delivery column on the delivery date you gave it.

As soon as you create the order, its expected delivery date goes onto the shared calendar too, next to your brew days and dry hop days. If you change the delivery date later, the calendar follows.

Now drag the Leftover column to after that delivery. It counts what the brews use and what the orders bring in, and shows what you'll have after both. Example: 100 kg of Pilsner, minus 150 kg for the September 12 beer, plus a 150 kg delivery before it: Leftover shows 100 kg.

13.7Choose what the order planner shows

At the top you can narrow the view:

  • What: All ingredients, Malts, Hops, Yeast or Adjuncts.
  • How far ahead: 2 weeks, 1 month, 3 months or All.

The choice changes which brews the order planner shows, and Print and the export follow the same choice.

13.8Print it or export it

  • Print prints the order planner as you're viewing it, so you can see everything on paper.
  • Export to Excel downloads an Excel file of the whole order planner, if you'd rather work with it in Excel.

Next to every Export to Excel button there's an Export to CSV button that writes exactly the same rows.

13.9Your orders, and when they arrive

Click Orders on the order planner to see all your upcoming orders, grouped by the day you made them, with the day each is expected. To move a whole delivery, change the date on its group.

If an order changes: click the ingredient, and Edit order opens for it. Change the amount, the supplier, the delivery date or the notes, and press Save. Example: the supplier calls to say the Pilsner will come three days late. Click Pilsner and change the delivery date.

When it arrives:

  1. Tick the boxes of the ingredients that came in.
  2. In the bar that appears, choose received and click Apply.
  3. The Receive delivery window opens: check the date it arrived and the amount of each, type the lot number (and for hops the crop year and AA %), and press Receive.

They're added to your inventory and your tax inventory records.

13.10Receive a delivery on your phone

You can do the same thing at the dock on your phone.

  1. Go to More → Receive a delivery. It shows every order that hasn't arrived yet, grouped by the day it's due (Overdue, Today, Tomorrow, then the dates).
  2. Tap the day, then tap the ingredient. It shows the amount you ordered.
  3. Amount that arrived fills in with the amount ordered. If a different amount came in, change it. Check Arrived on. Example: you ordered 150 kg of Pilsner but only 125 kg came. Change it to 125.
  4. If there's a lot number (hops usually have one), type it in. For hops, type the AA % off the sheet too.
  5. Press ✓ Received.

It goes straight into your inventory and your tax inventory records.
