My tasks

19.1Open it

On Home, click My tasks. This is what you've been assigned to do.

At the top is a calendar. Choose which one to show:

  • Hakkotome: the brewery's calendar from the production schedule: brew days, packaging days (the last day of fermentation), transfer days, and meetings.
  • Sales hub: everyone's calendar for sales, from the Sales Hub: events, beer releases, merch order-by and drop dates, and venue trips — the things the whole team wants to see. Nobody's own tasks are on it; those are on My tasks. A release is named after its beer, and clicking it opens the recipe. If the Sales Hub can't be reached (no Sales Hub, or no connection), it says so instead of showing an empty month.
  • My tasks: your own calendar. It puts together everything you have to do: your jobs from Hakkotome, from the Sales Hub, and your personal tasks.

Example: a festival on the 12th shows on the Sales hub calendar for everyone. The job "pack the van for the festival", given to you for the 11th, shows on your My tasks calendar.

The Hakkotome calendar shows brew days, packaging days, transfer days, meetings and ingredient deliveries — the things the brewery plans its week around. Dry hops, cold crashes and custom jobs (like adding Biofine) are not on it: a fortnight of them would bury the brew days. They still reach whoever they're assigned to, on their checklist and their own calendar.

19.2Your checklist

Under the calendar is your checklist: what you've been assigned. It's split into Today and Upcoming.

Click a task to see its details, and to open where it came from: the recipe, or the conversation in the Team Hub. Tick it when it's done.

After you tick a task, you have a few seconds to undo it, and the Undo button at the top right undoes it too.

You can only add personal tasks yourself: press Add. Only you see them. Every other task is assigned to you by an administrator, or whoever has the right to assign work, usually the manager or head brewer.

Example: your manager assigns you "Package Yuzu Kosho" on Friday. It shows on your calendar and under Upcoming, then under Today on Friday. Tick it when the beer's in cans.

19.3Shared calendars on your phone

These calendars are also published on the web, so anyone can add them to the calendar on their phone or computer (Google Calendar, Apple Calendar, Outlook) and see them next to everything else. They update on their own.

There are four:

  • Brewery: brew days, packaging days, transfers, meetings, and the expected delivery date of every ingredient order (see Ordering). It's the same calendar you see in My tasks as Hakkotome tasks. An other job (like keg washing) goes on it only if you tick Add to calendar on it. Change a date in Hakkotome and it moves on the calendar too.
  • Sales: release dates, events and festivals, venue trips, and merchandise deadlines and drop dates.
  • Team: meetings, and anything someone chose to put on the calendar.
  • Your own: one per person: your personal tasks, your assigned tasks, and any brewery job with your name on it.

The brewery and sales calendars are a record: things stay on them after they're done, so you can look back. The team and personal ones are to-do lists: a ticked task drops off.

Where the links are: an administrator finds them in Hakkotome under Settings → Brewery → Calendar links, and in the Sales Hub under Settings → Calendar links. It's the same list either way — one place makes the links. Each link is like a password: anyone who has it can read that calendar, so only share a person's own link with them. If a link gets out, press Replace and the old address stops working at once.

If somebody new has no calendar yet, the card says so and Make the missing ones creates them.

If you don't have the Sales Hub and Team Hub, you still get calendars: the brewery calendar and one for each person, built from your Hakkotome data.

19.4Who can change a shared task

The tasks are one shared board, and the Team Hub and the Sales Hub follow the same rule as Hakkotome:

  • Change a task (its words, who it is for, the due date, notes): an administrator, or the person who made the task.
  • Tick a task done: anybody can tick a task that is assigned to them or to nobody yet. A task assigned to someone else can only be ticked by an administrator, so tell that person and they can tick it.
  • Delete a task: administrators only.

If you are not allowed, a red message says why and nothing changes. Until somebody is marked as an administrator in Settings, everybody is allowed to do everything.

Example: Ann makes the task "order labels" for Bob. Bob can tick it. Only Ann or an administrator can change its due date, and only an administrator can delete it.
